Location: We prioritise candidates who are based in Dubai then consider those working remotely in one of our European Hub Locations (UK, Spain or Germany).
We are looking for a professional Personal assistant to work one on one with our founder managing his personal engagements and affairs.
You will manage his personal calendars, dinner arrangements, personal travel and his property portfolio.
Key Responsibilities
- Personal Support (80%);
- Manage various personal tasks, including household coordination and errands.
- Plan and organize personal travel: flights, visas, accommodations, and itineraries.
- Support with day-to-day logistics and scheduling of personal commitments.
- Handle sensitive matters with complete confidentiality and discretion.
- Business Support (20%);
- Organize and coordinate business meetings and calls.
- Manage business travel arrangements (including international trips), expense reporting, and post-trip documentation.
- Provide logistical and administrative support during business travel.
- Prepare meeting agendas, schedules, and programs.
- Draft and compile reports, summaries, and follow-ups.
- Screen and manage incoming calls and correspondence.
Requirements
- 5+ years of experience as a Personal Assistant or Executive Assistant, preferably supporting C-level executives.
- Fluent English is required.
- Previous experience supporting company founders, CEOs, or presidents.
- Experience working with executive families (fewer but important tasks).
- Proven ability to work effectively in a team of assistants.
- Excellent organizational and time-management abilities.
- Strong verbal and written communication skills.
- Proficiency in Google Workspace (Calendar, Drive, Docs, Sheets).
- Advanced knowledge of iOS devices.
- Familiarity with Jira is a plus.
- Capable of making quick, informed decisions under pressure.
- Prior experience with construction/renovation projects is a bonus.
- Self-motivated and highly proactive.
- Comfortable working independently in a fast-paced environment.
- Flexible with working hours, including evenings, weekends, and travel.
- Able to prioritize tasks and adapt quickly to shifting priorities.
- Maintains a high level of professionalism, discretion, and confidentiality.
Nice to haves
- Experience or understanding of cryptocurrency and blockchain space.
- Russian-speaking or experience working with Russian-speaking executives.
